Privacy Policy

Easy AI™ is operated by Automated AI Solutions, LLC (d/b/a “Easy AI”, “we”, “us”). This policy explains what information we collect, how we use and protect it, and the choices you have. It covers our public websites, the Easy AI dashboard, the Easy AI chat widget, and our managed AI services.

Two kinds of data, two roles

When you create an Easy AI account, we act as the data controller for your account information. When your AI assistant talks with visitors on your website, we act as a data processor on your behalf: those conversations, leads, and contact details belong to your business, and we handle them only to provide the service to you.

Information we collect

Account information — name, email address, business name, and login credentials when you register.
Billing information — processed by our payment provider (Stripe). We do not store full card numbers on our systems.
AI provider keys — if you connect your own OpenAI key, it is encrypted before storage and used only to power your assistant. We never share it or use it for any other purpose.
Assistant content — the instructions, FAQs, and knowledge you add, plus the conversations, leads, and contact details your assistant collects from your website visitors.
Usage and device data — browser type, IP address, time zone, pages visited, and cookies that keep you signed in and help us understand how the service is used.

How we use information

To provide, operate, and maintain the service.
To set up, monitor, and improve assistants you ask us to manage.
To provide customer support and respond to your requests.
To process payments and manage subscriptions.
To detect, prevent, and address technical and security issues.
To improve our products, using aggregated and de-identified data only. We do not sell your personal information, and we do not use your customers' conversations to train AI models of our own.

Service providers we share data with

We use a small set of service providers (subprocessors) to run Easy AI, including cloud hosting and database infrastructure, Stripe for payments, and AI model providers such as OpenAI to generate assistant replies. When you bring your own OpenAI key, assistant replies are processed under your OpenAI account and OpenAI's terms. We share only what each provider needs to perform its function, and we do not allow them to use your data for their own purposes. Security

Customer data is encrypted in transit and at rest. Saved AI provider keys are encrypted before storage. Access to production systems is limited to personnel who need it to operate the service. No method of transmission or storage is 100% secure, but we treat your data — and your customers' data — as a vital asset and protect it accordingly.

Data retention and deletion

We keep your account data for as long as your account is active. Assistant conversations and leads remain available in your dashboard so your business can use them; you can delete them at any time. When you close your account, we delete or de-identify your data within a reasonable period, except where the law requires us to keep it longer (for example, billing records).

Your rights

Depending on where you live, you may have the right to access, correct, delete, or export your personal information, to object to or restrict certain processing, and to withdraw consent. This includes rights under the GDPR for European residents and under U.S. state privacy laws (such as the CCPA/CPRA) for residents of applicable states. To exercise any of these rights, email contact@easyainow.com. We will respond within the timeframe the applicable law requires, and we will never discriminate against you for exercising your rights.

If your information was collected by a business using an Easy AI assistant on its website, please contact that business directly — we process that data on their behalf and will support their response.

International transfers

Our services are operated from the United States. If you access them from elsewhere, your information will be transferred to and processed in the United States, with appropriate safeguards applied for transfers from regions that require them.

Cookies

We use cookies that are necessary to keep you signed in and operate the service, and limited analytics to understand usage. You can control cookies through your browser settings; disabling essential cookies may prevent parts of the service from working.

Children

Our services are for businesses and are not directed to children under 13. We do not knowingly collect personal information from children.

Data processing agreements

If your business needs a Data Processing Agreement (DPA) covering the end-user data your assistant handles, contact us at contact@easyainow.com and we will put one in place.

Changes to this policy

We may update this policy as the service and the law evolve. We will post updates on this page and, for material changes, notify account holders by email or through the dashboard.
